Terms Of Agreement

Detroit Natural Hair Expo 2025 Vendor Terms and Conditions  The parties agree to the following:  

  1. Arrival & Set-Up: Vendors must arrive at the Detroit Natural Hair Expo no later than 7:30 AM  on the event day. A DNHE representative will inspect the vendor area at 9:00 AM to ensure  all booths are set up for the 10:00 AM opening. Late arrivals will be denied entry with no  refund. 
  2. Approval of Goods/Services: All goods and services must be pre-approved by DNHE.  Unapproved items may be refused before or during the event. 
  3. Staff Appearance & Behavior: Vendors and staff must maintain professional attire and  conduct. No loud music, noise, or sound amplification is allowed without prior written  consent from DNHE. 
  4. Table Staffing: Vendors are responsible for keeping their booths staffed at all times during  the event (10:00 AM – 5:00 PM). 
  5. Clean-Up & Breakdown: Vendors have 60 minutes after the event to dismantle and remove  all items, leaving the space clean. Failure to comply may result in additional fees. 
  6. Liability: DNHE is not responsible for lost or stolen property. Vendors are responsible for  securing their booths at all times and waive liability claims against Eonica Smith, DNHE,  Huntington Place, or any affiliated parties. 
  7. Vendor Passes: Each vendor will receive two (2) wristbands for entry. Additional personnel  must purchase a ticket. 
  8. Marketing Obligations: Vendors must promote their participation through their social media  platforms and other marketing channels. 
  9. Media Consent: Vendors grant DNHE permission to use their names, images, and quotes  for promotional purposes in any medium, globally and perpetually. 
  10. Assignment of Space: Booths cannot be sublet or transferred without DNHE's written  approval. Booth locations are fixed and non-negotiable. 
  11. Payment & Space Reservation: Vendor spaces are allocated on a first-come, first-served  basis upon full payment and signed agreement. 
  12. Refund Policy: Payments are non-refundable and non-transferable, except in the case of  event cancellation by DNHE. Vendors canceling prior to May 13, 2025, will receive a 50%  refund. Cancellations after May 15, 2025, will forfeit 100% of fees. If the event is postponed due to a pandemic or similar occurrence, booth fees will transfer to the rescheduled event. 
  13. Venue/Date Changes: DNHE reserves the right to change the venue or event date to  accommodate the growing audience. Vendors will be notified of any changes by May 13,  2025. Vendors unable to attend due to these changes can request a full refund by May  13th, 2025. 
  14. Electricity: Electricity is not guaranteed as part of the vendor agreement. 15. Setup Assistance: Vendors must provide their own setup and breakdown assistance. 
  15. Trash & Clean-Up: Vendors are responsible for breaking down boxes and disposing of trash  in designated areas. 
  16. Event Cancellation: DNHE reserves the right to cancel the event at any time. Full refunds  will be issued in the case of cancellation. No refunds will be issued for date  postponements. 
  17. Mailing Restrictions: No items can be mailed to the venue without prior consent from  DNHE. Contact info@naturalsunitedinc.com for approval. 
  18. Food & Beverage Policy: No outside food or beverages are allowed. Concession stands are  available at Huntington Place. 
  19. Furniture & Tents: Additional furniture must be pre-approved by DNHE. Tents are permitted  inside the venue with prior approval. 
  20. Parking: Vendors are responsible for their own parking. Rooftop parking is available at  Huntington Place for $20. 
  21. Loading/Unloading: Vendors must unload on the rooftop deck. Front-door loading/ unloading is prohibited. 
  22. Sales Tax: Vendors are responsible for adhering to local and state sales tax regulations. 
  23. Stylist Equipment: MUAs, braiders, and barbers must bring their own styling chairs and  equipment. 
  24. Pandemic Postponement: In the event of a pandemic or similar occurrence, vendor fees  will transfer to the next scheduled event. 
  25. Exhibit Breakdown: Vendors may not dismantle or pack up booths before the event closes  at 5:00 PM. 
  26. Table Décor: Vendors must provide their own décor and banners. DNHE will provide a  table, skirting, and two chairs per vendor.
